2. What this notice covers
This notice applies only to personal information we collect through this website — for example when you make an enquiry or contact us.
TelMyDoc provides remote primary care services to NHS GP practices. If you are an NHS patient, your medical records and clinical information are handled separately under NHS information governance arrangements and are not collected through this website. Please do not send medical details or other sensitive personal information through our website contact form.
3. The information we collect
Depending on how you use the website, we may collect:
• Information you give us — such as your name, email address, telephone number, organisation and the content of your message, when you complete a contact or enquiry form or email us.
• Technical information — such as your IP address, browser type and the pages you visit, collected automatically by our web server and through cookies, to keep the site secure and working properly.
• Cookies — our website uses only essential cookies, which are needed for the site to work. See section 5 below.
4. How we use your information, and our lawful basis
• To respond to and manage your enquiry and any resulting correspondence or business relationship. Lawful basis: our legitimate interests in responding to enquiries and running our business.
• To keep our website secure and working and to prevent misuse. Lawful basis: our legitimate interests in the security and proper operation of our site.
We do not sell your personal information, and we do not use it for marketing without your consent.

Our website uses only essential cookies, which are necessary for the site to function. We do not use analytics, advertising or other non-essential cookies, and we do not use cookies to track you — so no cookie consent banner is needed.

We share personal information only where necessary:
• With the service providers who help us run our website and email — for example our website hosting provider and our email provider (Google Workspace) — who act only on our instructions.
• Where we are required to by law, or to establish, exercise or defend legal claims.
We do not sell or rent your personal information to anyone.
7. Where your information is held
Your information is stored within the UK or European Economic Area wherever possible. Some of our service providers (such as Google Workspace) may process data in other countries; where they do, appropriate safeguards — such as standard contractual clauses or the UK International Data Transfer Agreement — are in place to protect it.
8. How long we keep your information
We keep enquiry and contact information only as long as necessary to respond to you and for any resulting business relationship — normally no longer than 24 months after our last contact — unless we need to keep it longer for legal reasons. Any copy of your message held on the website itself is automatically deleted on a regular cycle. Technical and security logs are kept for a short period and then deleted.

Under data protection law you have the right to:
• ask for a copy of the personal information we hold about you;
• ask us to correct information that is inaccurate or incomplete;
• ask us to delete your information, or to restrict or object to how we use it;
• ask us to transfer your information to another organisation, in certain cases;
• withdraw your consent at any time, where we rely on consent.
